Processing a Campus Volunteer: Background Check, Release Form, HR Notice, Start Volunteering

Step 1: Background Check

Volunteers working with sensitive populations or with certain fiscal duties as described in HOP 03-219 must submit a Background Check Disclosure and Consent Form.

The department or program sponsoring the volunteer should submit the completed form via email to hr@sfasu.edu as soon as possible (normal turnaround time is up to two weeks). Be sure to include the name of the sponsoring department/program.

Step 2: Release Form

All volunteers must sign the Volunteer Release Form.

The manager of the sponsoring department/program must also sign the form before submitting to hr@sfasu.edu. This form may be submitted simultaneously with the Background Check Disclosure and Consent Form.

Step 3: HR Notice

After the completed Volunteer Release Form is received (and the background check is completed, if applicable), HR will send an email notification to the sponsoring department/program.

Step 4: Volunteering Begins

Volunteer activities may begin after receipt of the HR email notification.
