Administrative Leave

The president may grant administrative leave with pay to eligible staff employees as a reward for outstanding performance, as documented by employee performance appraisals. Full-time staff employees may be granted administrative leave in eight hour increments and may not exceed 32 hours during a fiscal year. Administrative leave can be reduced proportionately for part-time staff employees.

As a supervisor, it is your responsibility to:

  • familiarize yourself with HOP policy 03-503 (leaves of absences and misc. leave),
  • nominate eligible employee(s) under your supervision using the Administrative Leave Request Form,
  • obtain department head approval of the nomination(s),
  • forward all approved forms and performance evaluations to Human Resources, and
  • notify the employee of the award if award hours are approved and forward a copy of the approved form to Payroll for leave reporting.

Family Medical Leave

Eligible employees may take up to 12 workweeks of leave in a 12-month period for a qualifying event that is certified by a healthcare provider. Employees must have worked for a Texas state agency for at least 12 months and worked 1,250 hours within the last year to qualify.

As a supervisor, it is your responsibility to:

  • keep track of employee leave using the FMLA Tracking Log,
  • contact Human Resources if an employee notifies the department of the need for leave,
  • maintain open lines of communication, and
  • ensure that the employee receives a Return to Work Release from his or her certified medical professional before returning to work.

Leave Without Pay

At times, an employee may exhaust all paid time.

As a supervisor, it is your responsibility to:

  • submit the appropriate leave without pay form to Human Resources according to policy leave forms,
  • ensure that the employee's leave usage is properly reported to payroll,
  • communicate to the employee that his or her paid leave has exhausted, and
  • contact Human Resources if you or the employee on leave have further questions about HOP policy 03-503.
