Committed to maintaining the security of payment card information, HOP policy 05-205 requires all payment card information is handled and disposed of in a manner that:
- protects customer information
- complies with applicable law
- and complies with the Payment Card Industry Data Security Standards.
Apply for approval
Carefully read HOP policy 05-205 (payment card acceptance and security) before continuing with the application process. SFA departments must apply for approval to process payment cards. Approval must be received from the Director of Treasury and Student Business Services before the department can accept payment cards.
The following documents must be completed and sent to treasury@sfasu.edu:
- Payment card processing application/registration form
- Statement of intent to comply with HOP policy 05-205
Next steps
Once approved and regardless of your intent to accept payment cards through Marketplace or a terminal, departments must:
- comply with PCI DSS in the Payment Card Security Handbook
- and complete the following:
- PCI training
- Receipts and Deposits training
- Departmental Procedures (pages 31 and 27 of the Payment Card Security Handbook)
- annual compliance questionnaire
- and the intent to comply form.
If your department is using a terminal, you also must complete:
- Terminal inventory (page 38 of the Payment Card Security Handbook)
- and the PCI device inspection log.
Do you temporarily need a credit card machine?
If you need temporary access to a credit card machine for an event or other occasion, email the credit card machine request form to sbs@sfasu.edu at least one week in advance. Machines are loaned on a first-come, first-served basis and departments must have a FOAP for credit card and rental fees. Rental fees are determined based on requested dates.
Prior to the machine being picked up from Student Business Services, training documents must be complete for all employees who will handle transactions.
